OTC Program Committee Responsibilities as a member of the SNAME Subcommittee


SNAME is a major sponsor of the Offshore Technology Conference.  The event is attended by more members of SNAME than any other single event of the Society.  Thus, we play a major role in the direction and content of the Technical Conference portion of the show.

The works associated to the committee responsibilities are to support and develop the technical program on a year-to-year basis.  Committee members are expected assist in the development of proposed topics for the OTC, `solicit’ papers and topics for SNAME as well as other member societies, review and rate abstracts and actively participate in meetings and required functions.

  1. Development of proposed topics – Contrary to the popular notion that the ‘O’ in OTC stands for ‘oil’, it doesn’t!  The Offshore Technology Conference, or OTC, is an organization that is sponsored and managed by eleven (11) technical societies that represent interests in the offshore field.  Participants at the OTC have a wide range of interests from renewable energy, to structural analysis, hydrodynamics, marine support and project management, as well as lessons learned. Topics and papers are solicited from all corners of the country and world which makes OTC a global experience. 
  2. Solicitation of papers and topics – Active members are expected to assist in the solicitation of technical papers as well as conference topics and speakers.  As SNAME is a global society of professionals, there is a world of technical information to draw upon.  Speakers for breakfasts and lunches are also actively sought after as well for technical session’s discussion panels.
  3. Abstracts – Committee members are given access to OTC’s database and are expected to review and rank abstracts presented by all the participating societies.  This gives members unprecedented access to a world of information, technology and knowledge.  From these abstracts technical sessions are proposed and later are voted upon by the chairpersons of the societies so that the final OTC technical program is developed.  Committee members are also expected to follow-up with authors to assure that they know and can meet the required deadlines.
  4. Further opportunities are available to committee members to preside over technical sessions, enabling further contacts and networking with other professionals.

A ‘generalized’ time line is herein provided, as an example for OTC 2012:
  • Mid March 2011 – General society meeting and organizational update
  • Mid April 2011 – Board of Directors presentation of plans for OTC 2012
  • First week in May – OTC 2011
  • Mid May 2011 – General solicitation for papers by all societies
  • June 2011 – Online abstract ratings begin
  • Mid July 2011 – Summer status meeting
  • Early September 2011 – Abstract Deadline
  • Mid September 2011 – Committees rate abstracts
  • Early October 2011 – Special sessions subcommittee meetings
  • Mid October 2011 – Technical session program development
  • Early November 2011 – Author notification
  • Early December 2011 – Final deadline for preview information
  • Early January 2012 – Technical session status report
  • Early February 2012 – Manuscripts and copyright forms are due
  • Mid March – OTC 2012 begins and the cycle starts over

This is a simplified explanation of how the offshore conference works in a ‘nut shell’.  Its success and long-life can only be attributed to the people that volunteer and dedicate to its success.  A volunteer will average between 60 – 80 hours a year, but are rewarded by the fact that they have been proactive in the world’s largest offshore related technical conference that is visited by over 70,000 people from numerous countries worldwide.
